Hotel payment processing for check-ins, phone bookings and deposits

Front desk terminals from partners such as Clover and Helcim, a virtual terminal for phone reservations, payment links for deposits, and interchange-plus pricing with every card category on its own line.

Short answer

Hotel payment processing is how a hotel, motel, inn or rental takes cards for deposits, check-in holds, final folios and charges after departure. Visa lets lodging merchants authorize an estimated stay and add to it, so the parts to get right are honest estimates, fast reversals of unused holds, and a cancellation policy guests see before booking.

How do card payments work at a hotel?

Hotel payment processing covers every card charge a stay creates: a guarantee or deposit at booking, an authorization at check-in, the final folio at check-out and, sometimes, a charge that turns up after the guest has gone. Motels, inns and bed and breakfasts run the same way, and vacation rental hosts share the deposit and cancellation questions. Because nobody knows the bill until check-out, Visa lets lodging merchants authorize an estimate and add to it during the stay (Visa).

Our guide to hotel credit card processing covers each step with the rules behind it.

What we set up for hotels and rentals

Front desk terminals from our partners

Clearo is an authorized reseller for partners such as Clover and Helcim. Ask which partner terminal fits your desk and how it handles check-in holds.

Reservations by phone

Enter the card in the virtual terminal during the call, so no number lands on a notepad or in an email.

Deposits by payment link

Text or email a link with the stay dates in the description; the guest enters their own card.

Direct bookings on your website

A hosted checkout or gateway integration for your own booking page, with AVS, CVV checks and velocity rules.

Help when a guest disputes

Chargeback management tools for answering no-show and late-charge disputes, and a dedicated rep for your account.

Funding and terms

Same-day or next-day funding options on interchange-plus pricing, with no long-term contract.

How do check-in holds and incidentals work?

Authorize the expected room charges plus a set incidental amount at check-in, then charge the real folio at check-out and release the rest. Visa's best-practices guide asks for an estimate based on the actual stay, not an arbitrary figure, and says to tell the guest it's provisional (Visa). If spending passes the estimate, add an incremental authorization; a second full one leaves the guest with two holds. For lodging, Visa says to complete the sale within 30 days of approval and reverse any unused amount within 24 hours of check-out.

Take a three-night bed and breakfast booking at $140 a night: $420 in room charges plus a $50 nightly incidental allowance makes a $570 authorization. The guest spends $35 on extras, so the inn settles a $455 folio and reverses $115 the same day. On a debit card, that $115 is the guest's own money until the issuer releases it, so don't wait. More in our authorization hold guide.

How should a hotel take reservations and deposits by phone?

Straight into a payment system, never onto paper: a virtual terminal or your booking software's secure field, plus a payment link so guests enter deposit cards themselves. Drop the security code after the first authorization: PCI SSC bars storing it for card-on-file use (PCI SSC), and a card guaranteeing a room is a card on file. When a company pays a guest's bill, use a credit card authorization form with no box for the code.

Anything you charge later needs the guest's agreement first, since Visa's stored credential rules require consent before you keep a card for later charges (Visa). Say in your booking terms and on the registration card when a no-show or post-departure charge can go on it; our card on file guide has the details.

How can a hotel avoid no-show and late-charge disputes?

Show the cancellation policy before the guest books, log every cancellation, and check the log before you charge. On a guaranteed reservation, Visa's developer documentation describes a no-show transaction: a penalty charged under your cancellation policy (Visa). Where hotels slip is charging a guest who did cancel: Visa's dispute guide lists a canceled guaranteed reservation billed as a no-show among the common causes of "credit not processed" disputes (Visa). Ask your acquirer how large a no-show charge may be before you set the amount.

For a charge that missed the folio, Visa's term is a delayed charge, run after the stay and the original payment (Visa); post it promptly with an itemized receipt. If a guest disputes anyway, answer with the documents that match the claim, such as the policy they saw, the folio and the signed registration card, before your processor's deadline; Mastercard says merchants usually get 20 to 45 days from notification (Mastercard). Our chargeback representment guide walks through it, and Clearo provides chargeback management tools for the response.

What drives a hotel's card processing cost?

Your cost is interchange plus the card networks' fees and your processor's markup, and two lodging details move the interchange. Your merchant category code decides which interchange rows your sales can reach; Visa's code 7011, for example, takes in hotels, motels, resorts and central reservation services (Visa). How each card is taken matters too. On the standard rows of Visa's US schedule effective April 18, 2026, a Traditional Rewards card costs 1.65% plus 10 cents when the card is present and 2.04% plus 10 cents when it isn't (Visa), or $7.61 against $9.38 on the $455 folio above. Ask your processor how your check-in and check-out charges qualify; interchange-plus pricing shows the categories line by line.

Guests with foreign cards bring one more choice. If your provider offers dynamic currency conversion, which lets them pay in their home currency, Visa requires that to be the guest's own choice, with both amounts, the exchange rate and any markup shown first (Visa), and a guest who wasn't told can dispute under its incorrect currency condition (Visa).

Mandatory fees belong in the price you advertise: the FTC's fee rule has required that since May 12, 2025, and its FAQ names hotels, motels, inns and vacation rentals among the businesses covered. Canada has a similar rule on drip pricing, covered in the FAQ below. A credit card surcharge is separate: Visa and Mastercard allow one on credit cards only, within caps (Visa, Mastercard), and the rules vary by state and province. If you decide to add one, Clearo's surcharging program takes care of compliance, disclosure and setup. These are the rules as of October 2026; check the linked sources before you reprice.

How Clearo helps hotels and rentals

Clearo handles what a property takes at the desk, over the phone and on its own website, with one dedicated rep and no cancellation fee if you leave. As an authorized reseller, Clearo supplies front desk terminals from partners such as Clover and Helcim, and which hold features you get depends on the partner terminal, so ask before you choose. If your property management system or booking engine processes cards itself, ask its provider which processors it supports before you plan a switch.
