Credit card processing and merchant services in Albany, NY

Albany County's combined sales tax is 8%. For businesses that invoice rather than ring up sales, New York's cash law exempts orders paid off the premises, and any card surcharge still has to be shown up front.

Albany County's combined sales tax rate is 8%: the state's 4% plus a 4% local rate, according to Publication 718, effective March 1, 2025. Eligible clothing and footwear under $110 takes 4% here, because the county keeps its local tax on those items while the state exempts them. If you also run a location in New York City, that one charges 8.875%, so give each store its own tax setting.

Not every Albany business rings up sales at a counter. If you send invoices, bill retainers or collect through payment links, two New York laws read a little differently for you.

Start with cash. General Business Law Sec. 396-ii, in force since March 2026, requires food stores and retail establishments to accept cash, but even they may refuse it for phone, mail and internet orders unless the customer pays on the premises. A client paying an emailed invoice online isn't owed a cash option under that law. A walk-in shopper at a retail counter is.

Then card fees. Sec. 518 caps a credit card surcharge at what the card company charges you and requires the total card price to be posted. The Department of State's examples involve price tags, menus and receipts. For an invoice, our advice is to print the card total on the invoice itself, before the client pays. Say a client owes $1,500 and your cost on that card works out to 2.6%: the card total is $1,539, and that's the figure to show.

The Census Bureau estimated Albany's population at 101,698 on July 1, 2025, up 2.6% from its 2020 base. A virtual terminal handles the billing side, with emailed invoices, payment links, cards taken over the phone and recurring billing for retainers. Pricing is interchange-plus, and a free statement review shows what keyed-in and online payments cost you now. The New York page covers both laws with their sources.

Common questions

What sales tax rate applies in Albany, NY?

8% on most taxable sales: the 4% state rate plus Albany County's 4% local rate, as listed in Publication 718, effective March 1, 2025. Eligible clothing and footwear under $110 is taxed at 4%, since Albany County keeps its local tax on those items while the state exempts them.

Does an Albany business have to accept cash for invoices paid online?

No. New York's cash law applies to food stores and retail establishments, and even they may refuse cash for phone, mail or internet orders unless the payment happens on their premises. If a customer comes in to pay at a retail counter, though, the cash rule applies. Bills over $20 can be refused either way.

How should an Albany firm show a card surcharge on an invoice?

Print the total card amount on the invoice before the client pays, and keep the added amount at or below what the card company charges you, the cap in General Business Law Sec. 518. The Department of State says a percentage note on a price tag or menu, or a fee that first appears on the receipt, doesn't comply, so we wouldn't rely on either for invoices.

Can an Albany business bill clients on a schedule?

Yes. A virtual terminal includes recurring billing, which suits monthly retainers and service plans, and the same tool sends invoices and payment links and takes cards over the phone. Our guide to recurring billing explains how card-on-file payments work and what to tell customers before you charge them.

Do an Albany store and a Manhattan store charge the same sales tax?

No. Albany County's combined rate is 8%, while New York City charges 8.875%, which includes a 0.375% Metropolitan Commuter Transportation District surcharge. Give each location its own tax setting. Our New York City page breaks down the city's rate and its separate cash ordinance.
